Job Description:

Essential Duties and Responsibilities: Responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency.

Customer Service and Office Management:

  • Front desk duties include answering phones, ensuring all phone inquires are routed appropriately, take messages as needed, and redirect callers to appropriate resources as needed.
  • Manage lobby area, greet visitors, check in clients, request and receive payments from clients, coordinate payment plans as needed.
  • Administer toxicology testing for clients as needed; ensure appropriate tracking, storage, and chain of custody processes.
  • Maintain communication with local agencies and resources needed to ensure quality client care and provide appropriate referrals as needed.
  • Handle client inquiries and complaints.

File Management:

  • Design and implement filing systems as needed, ensure filing systems are maintained and current, establish and maintain procedures for record keeping, monitor record keeping, and ensure security and confidentiality of all data.

Financial Management:

  • Coordinate accounts receivables with accounting office at FGC, submit financial reports to accounting as needed, and maintain petty cash.
  • Complete all billing/financial reports as assigned.

Supply Management:

  • Monitor and maintain office supplies inventory, review and prepare office supply requisitions
  • Monitor and maintain inventory of supplies needed for toxicology testing, cleaning/maintenance supplies, coffee/break room supplies, and other miscellaneous supplies.
  • Monitor and maintain office and computer equipment and collaborate with IT personnel as needed.

Number of Position Openings: 2; 1 Full Time Position 1 Part Time Position (No Benefits)

Schedule: Monday through Friday: 6:30 am - 3:00 pm (Full Time HRs); Monday thru Friday 2:30 pm - 6:00 pm (Part Time Hrs)

Saturday Rotation 3 times per month: 7:00 am - 11:00 am

Start Date: January 2019

Salary Range: $13.00 - $15.00 per hour

Experience and Skills:

Education and/or Experience: High School diploma or GED equivalent with at least 2 years of administrative/office manager experience. Experience in customer service strongly preferred. Basic knowledge of clerical practices and procedures, data and administrative management practices and procedures. Computer skills and knowledge of office software packages.
